Answering phones and routing calls to the correct person or taking messages.
Filing and retrieving corporate records, documents, and reports.
Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
Helping prepare for meetings.
Accurately recording minutes from meetings.
Greeting visitors and deciding if they should be able to meet with executives.
Using various software, including word processing, spreadsheets, databases, and presentation software.
Reading and analyzing incoming memos, submissions, and distributing them as needed.
Making travel arrangements for executives.
Coordinate complex scheduling and calendar management, as well as content and flow of information to executives.
Maintain professionalism and strict confidentiality with all materials.
Organize team communications and plan events, both internal and off-site.
Performing office duties that include ordering supplies and managing a records database.
Opening, sorting and distributing incoming faxes, emails, and other correspondence.
Provide general administrative support.
Assist applicants with completing forms and applications, triage clients for homeownership service eligibility, provide referrals when necessary to third-party service providers.
Manage the homeownership center's email inbox.
Conduct intake interviews.
Knowledge Skills and Abilities Proven experience as an executive assistant or other relevant administrative support experience.
Strong time management skills and an ability to organize and coordinate multiple concurrent projects.
Flexible team player, willing to adapt to changes and unafraid of challenges.
In-depth understanding of entire MS Office suite.
Ability to be flexible and consistent while maintaining confidentiality of high-level systems and operations Ability to organize a daily workload by priorities.
Must be able to meet deadlines in a fast-paced quickly changing environment.
A proactive approach to problem-solving with strong decision-making skills.
Professional level verbal and written communications skills.
Self-Initiator with a positive attitude and enthusiasm for providing assistance Education and Experience High school diploma.
Five or more years of experience in an administrative role reporting directly to upper management.
